Deputy Chairman

  1. Deputise for the Chairman as and when required.

Secretary,

  1. Provide up to date records of regular club committee and of annual meetings, including decisions and actions.

2.       Maintain archive records of club activities, but excluding those which are the specific responsibility of other committee members.

  1. Coordinate and distribute correspondence to and from the club including for internal information and for decision making
  2. Act as a contact point for external canoeing organisations
  3. Act as one of three signatories authorised to sign club cheques

Treasurer,

  1. Maintain up to date and archive records of all financial transactions
  2. Collect subscriptions and all other money due
  3. Pay bills as necessary
  4. Ensure that cash and cheques are deposited promptly in the club’s bank or building society accounts
  5. Report regularly to the committee on the club’s financial status,
  6. Prepare year-end statements of accounts to present to the auditor and to the club membership
  7. Arrange for the annual accounts to be audited
  8. Provide financial planning and forecasting statements as required by the club
  9. Act as one of three signatories authorised to sign club cheques

Membership Secretary,

  1. Issue new members with club welcome pack;
    1. Telephone list
    2. Events calendar   

c.      Details of Club wear

    1. Recent newsletter
    2. Car / Boat sticker
  1. Talk to, and  / or provide details, and information regarding the canoe club, and activities to prospective members.
  2. Send renewal notices out to existing members.
  3. Update database with relevant members details
  4. Ensure coaches, committee members have update information on members as necessary.
  5. Maintain confidentiality of club member’s details, and ensure the safe keeping, and disposal of all personal information, in compliance with the Data Protection act.
  6. Provide club information to relevant authorities, e.g. BCU, as requested.

  1. Coordinate training activities within the club.
  2. Maintain relevant records associated with club training
  3. Report regularly on training matters to the club committee and to the annual meeting,

Yahoo email Administrator

  1. Enable straightforward email communication between all committee members and between all FOA club members - via two separate FOA email groups.  
  2. Ensure that all the FOA committee are on the FOA committee group and that all the FOA committee email addresses are active
  3. Ensure that all club members who have supplied a valid email address are on the FOA club email group.
  4. Ensure that all email addresses supplied are active (and remain active).
  5. Try to ensure that where no email address is supplied for a club member it is either because:
    a) The member has no email address
    b) Someone else in the household receives club emails and would prefer to pass them on.
    c) The member specifically does not want to receive club emails
  6. Supply help and advice to any club member who has a query about (or a problem with) the club email groups.

Newsletter

  1. Coordinate the periodic (Monthly) production of a club newsletter.

Youth Representative

  1. Encourage canoeing amongst Junior members
  2. Provide information on Access to Juniors
  3. Encourage participation of Juniors in Regional and Club events
  4. Report regularly to the club committee,

Paddle Power Representative

  1. Plan and coordinate Paddle Power activities
  2. Report regularly to the club committee,

Polo Representative

  1. Plan and coordinate Polo activities
  2. Report regularly to the club committee,

Committee Member

  1. Attend regular club committee meetings and the annual meeting
  2. Progress actions as agreed at relevant club meetings

Club Activity Organiser (eg: Polo, River Trip Co-ordinator)

  1. Take responsibility for the club’s activity or coaching session
  2. Prepare the session in advance.
  3. If appropriate to the activity, identify and work with other coaches in the preparation and running of the activity.
  4. Provide feedback to the club on the organisation and degree of success of the relevant club activities.
